Conference Planning Time Line
This time line has been put together as a guide to future ISSRE conference organizers. It is based on experiece over several
ISSRE confrences - Joanne Dugan,
Peter Santhanam,
& Ram Chillarege, Novermber 2003.
Time line.. beginning at the N-1 the ISSRE Conference
- November N-1 ISSRE Conference is Held
- ISSRE Conference N-1
- Call for Papers of N
- Note that papers should be submitted in camera
ready format in pdf.
- ISSRE Organizing Committee N, meeting
- ISSRE Program Committee N, meeting
- Begin Industry support solicitation.
- Get START program going before PC selection.
- Capture the skill definition and matching
- December N-1
- Website
- Detailed CFP with the dates for submission
- Complete Hotel details if possible.
- Collect mailing lists from sources: IEEE,
Michael, LAAS etc.
- Submit CFP ad in IEEE Software or IEEE Software
to appear in Feburary.
- Schedule PC meeting, location and dates..
Use the face to face meeting at the N-1 conference to iron out
preferences, etc.
- Consideration: example Washington DC has
worked well for 3 years in a row (2000, 2001, 2002, 2003). ?????
- January
- TMRF should be complete
- Begin monthly conference call on status -
clarify role and responsibilites,
- Assess status
- Check with IEEE to ensure publication of ad
in Feb issue
- Ensure that the electronic submissions system
is working - and google can find it.
- Feburary
- Ensure that IEEE lists the conference.. and
this will not happen if the TMRF is incomplete - so get that
done in Jan
- Reminders to all earlier authors - individually
sent.
- March
- April
- Monitor submissions and move dates if necessary,
but not more than once. If one needs to extend the dates -
provide advance notice of change, and promptly reflect changes
in the web pages.
- Usually April 20th is the end of
submissions for full papers.
- Begin the referee bid process - and START
helps do that.
- Clear directions to referees on due dates
and the referee process
- May
- Nag, nag, nag the referees for the reports.
- Solicit submissions for Industrial Practices
and Tutorials.
- June
- Minimum of three refereee reports should be
in by the June 1st.
- June 1st is deadline for the submision
of Industry Practices and Tutorials
- Form the review process for the Industry Practices
sub-committee.
- When there is clear shortage of referees or
huge discrepencies on the results, additional reviews are to
be solicited from dependable committee members.
- June 2nd week is the typical date
for the Program Committee Meeting. And this occurs before the
DSN conference.
- Collect additional reviews that were additionally
provided during the PC meetings.
- Generate the first draft of the papers and
sessions right after the PC meeting.
- Publish on the website - all confirmed papers
(excluding sheparded papers) immediately and mark as Preliminary.
- Communicate results: Tutorials.
- Create FA sub-committee at the PC meeting
- Create the IP sub-committee at the PC meeting
- Create the Student paper sub-committee PC
meeting
- July
- July 1st (roughly two weeks after
the PC meeting) send the accept/rejects to the authors.
- On line registration opens,
- Customization of the letters to authors -
such as sheparding needs to be launched and a followup set up
with the PC member.
- Suggested switching of papers between tracks
- such as paper to fastabstract, etc. needs to be done.
- Clear directions from the authors point of
view of what to do with a paper?
- Send to IEEE the list of accepted authors,
and notify the authors that they will get print and submit directions
from IEEE.
- Inform authors that registration is required
before final submit date for papers to be printed in the proceedings.
- Check with shepards on the commit date for
changes recommended by the PC.
- End of July - Communicate results for Industrial
Practices papers.
- August
- Check on the schedule for the final submissions
of papers to IEEE and communicated to authors.
- FastAbstract deadline?
- September
- Complete the FA final submissions
- October
- Preregistration closes October 3rd week
- Print supplimental proceeding - talk to Mladen
Vouk about the ins and outs of this process.. it is only a 15
minute phone call and will save you 15 days.
- Cancel under subscribed tutorials.
- November
- 2nd or 3rd week Conference
